I bet a photocopy will suffice, so just give the core members copies
of the permit to carry in their wallets/cars/eyepiece boxes.

As for dates, I see a wide variety of options: list all dates, list
just non-full-moon weekend dates, or some combination of the two, and
throw in a few more dates for special astronomical events.
