[snca-list] Retirement of College/Univ President or Chancellor -archiving plan

Everyone,

 

We've had a Chancellor retirement and an office re-location that resulted in transfers. There were no formal work plans. The Chancellor's Office and the UA have a good working relationship so they asked for some overall advice and proceeded from there. Any/all files that fell under the records r/d schedule were handled accordingly.

 

On his retirement Chancellor Woodward identified some printed reports and books from his collection that related to the development of the university and sent them to me. Most were duplicates; the bulk of his unwanted printed materials he sent to Library's Gifts Section. Memorabilia and artifacts remained in the office for the in-coming chancellor.

 

During last year's relocation (to a smaller overall space) the office assistants made a list of printed materials they couldn't take with them and sent it to me. I chose things I wanted [printed histories, yearbooks, catalogs, faculty publications, etc.]; told them what things could be discarded [old telephone directories, duplicates of accreditation reports, campus academic plans, etc.) and the rest they sent to the Library's Gifts Section. Memorabilia (from bobble-heads to art pieces) came to the archives; I listed it and will keep it for now.

 

E-records were not an issue for the retiring Chancellor because he neither had nor used a computer. All email and other correspondence was handled through his assistant for administration; she and the senior assistant to the Chancellor had his files for other electronic records (reports, studies, minutes, policies, etc.). These two assistants continue to work in the office. Whatever Chancellor Woodward needed his last day of work, Chancellor Dubois needed his first day of work.

Hello -

Has anyone lived through a changing of the guard of your institution's CEO and archived it?  My supervisor is wondering if anyone has a work plan, project plan or similar for archiving e-records, artifacts, memorabilia, photographs, etc. when the head retires and donates to archives.  Would you be willing to share and/or have a phone call?  Doesn't have to be an N.C. institution.  Relatively recent retirement preferred.
